Role Purpose The Facility Manager will be responsible for managing all aspects of the facility management service delivery system for the client account; primarily Asset Management and Operations.In this capacity, the Facility Manager is accountable for the achievement of the site Scope of Work (as outlined in Schedule A of the Master Service Agreement document) and all key performance indicators including:What this job involves
  • Responsibility for managing the capital and expense budgets,
  • Short and long-term regional projects,
  • Operations and maintenance,
  • Interface with senior managers who are part of the client facility Leadership team and business units,
  • Coordination with other key managers within JLL and the clients alliance partner organizations.
  • Customer satisfaction is key.

The position will report to a Regional Facilities Manager.
  • Provide timely reports to the Regional Facilities Manager and Operations Director and adhere to agreed SLA (Service Level Agreements) & KPIs (Key Performance Indicators)
  • Ensure vendor performance, manage and track the completion of the scheduled work (Including but not limited to HVAC, Plumbing, Mechanical, Lighting, Electrical, Computer and Server room support, Janitorial, Confidential waste, Mail room, general interior maintenance etc.)
  • Ensure defined response times are met
  • Conduct Daily checklist (with onsite vendor staff), Weekly, Monthly and Quarterly reviews with all vendors and outlining successes, areas for improvement, improvement plans, cost savings strategies and innovation ideas. Provide reporting on such meetings to RFM and Ops Director. Invite RFM, Ops Director and Sourcing Manager to all vendor Quarterly Business reviews. Establish meeting schedule and request vendor to prepare presentation decks outlining the items listed above.
  • Assist Sourcing Manager with all FM contract related sourcing activity as directed. Write thorough and valid scope of work (SOW) documents for FM services to be including in RFP documents.
  • Ensure accident or crises management is addressed immediately
  • Act as a single point of contact for the designated facility for all FM escalations
  • Ensure all reporting requirements, quality control, audit requirements, safety and statutory compliance are adhered to at all times. Work closely with the EHS Manager for the account to thoroughly understand and deploy Environmental Health and Safety procedures related to facilities Management on all sites.
  • Ensure accuracy of the data, analyse the FM costing and budgets and highlight concerns to management accordingly. Gain appropriate approvals from Client Facilities POC for any facilities related costs.
  • Assist during audit process and provide audit reports with proper justification wherever required
  • Oversee and manage the capital & operational budgets
  • Ensure facility upkeep is maintained in all areas of operations as defined in the scope document
  • Understand the scheduled maintenance events and manage accordingly.
  • Ensure vendor management & vendor performance management is done on monthly basis
  • Ensure monthly invoicing is done on time as per agreed timelines and taken signoff from respective leads
  • Assist Account leads in all related internal audits and business specific external audits
  • Ensure Quality and ISO certifications by training and implementing ISO down the line
  • Ensure adherence to JLL Standard Operating Procedures
  • Demonstrate leadership, innovation & responsiveness and creativity
  • Understand the FM scope and in consultation with the Regional Facilities Manager – develop specific processes & procedures to reduce cost & improve client satisfaction
  • Accomplish Key Performance Indicators as per Schedule A of the Master Service Agreement
  • Develop & implement the facilities management account plan for the facility
  • Promote Safety First attitude. Assist the JLL EH&S Manager with ensuring adherence to JLL Health and safety procedures.
  • Other duties as assigned.

  • Familiar with Facilities Work order systems. Google platform knowledge a plus
  • 8 or more years -solid and proved track record in Facilities Management within an office environment.
  • Experience with managing both reactive and preventive work order management.
  • Degree is an added advantage. Technical facilities background preferred (Facilities Management, Engineering, Project Management or related job experience)
