Medior Project Management Officer (PMO)

Our request We are currently looking for a medior PMO to support the Programme Manager of our IFRS17 programme. The IFRS17 programme is a major change in the reporting duty “the company” will have. The effective date for IFRS17 to become mandatory is 01-01-2023. But the programme has already to deliver correct information towards the stakeholders during 2022.

Office location is Amsterdam.

Core tasks we will be asking you to take responsibility for are:
  • Facilitate and prepare regular and ad-hoc meetings: invite participants, schedule rooms across locations, schedule video conference and/or teleconference facilities, prepare the agenda, collect / validate / consolidate / distribute supporting materials, draft & distribute minutes, and capture & follow-up on actions and decisions.
  • Prepare and minute various programme meetings specifically the Programme Steering Board
  • Facilitate our Project Managers with planning and execution of initiatives in the programme (with Microsoft Projects)
  • Facilitate joiners & leavers process: being first point of contact for internal and external staff for access to applications & office facilities, and maintain the central overview of all staff engaged on the programme
  • Maintain & control administration on allocation of staff in the programme: support capacity demand (in Excel), registration of time spend (in Planview), and analyse capacity consumption (in Excel)

Knowledge, Skills and Experience
  • MBO / HBO level, secretarial education or PMO certificate
  • Excellent written and verbal communication skills, fluent in English – additional languages are an advantage
  • Experienced with MS Office applications: Excel, Outlook, PowerPoint and Word
  • Experienced with MS Projects
  • Ability to manage a wide range of tasks and stakeholders, setting priorities and allocating time accordingly
  • Good, balanced interpersonal skills: ability to build & maintain your own network with secretaries and other stakeholders across the organisation
  • Being discrete, knowing how to deal with confidential information, and being accurate and precise, and very important: someone who is a team player and works well with ours
